The Deutsche Gesellschaft für Internationale Zusammenarbeit GmbH (GIZ) is a federal enterprise that supports the German Government in achieving its objectives in the field of international cooperation for sustainable development.

Integrated Solid Waste Management (DKTI) The BMZ-funded project started in 2018 and is scheduled to run until March 2022. The project countries are Albania, Bosnia and Hercegovina and Montenegro. It seeks to strengthen the capacities of local, national and regional stakeholders regarding waste management and circular economy to reduce leakages and discharge of solid waste into the Adriatic Sea.

Marine Litter Prevention in the Western Balkan (MLP) The BMZ-funded project started in 2018 and is scheduled to run until March 2021. It seeks to strengthen the capacities of local and regional stakeholders regarding waste management and circular economy in order to re- duce leakages and discharge of waste into the Adriatic Sea and waterways.

GIZ Office Albania seeks the following staff: Office Manager (shared position)

Responsibilities

The office manager is responsible for:

providing administrative services for the project with regards to financial issues

ensuring that financial and administrative regulations are complied with quality assurance of contract documents of the project

the organisation of all kinds of events, meetings, trainings, work-shops and seminars, as planned in the project, according to GIZ rules and regulations

filing documents in reference files and/ or in DMS in line with GIZ’s filing rules

assisting the GIZ project manager and other members of the team in their administrative tasks

efficient day-to-day administrative running of the project

Tasks

1.Finance

prepares invoices and receipts for accounting and executes payments and checks for com- pliance with GIZ rules

manages the Cash Box and the Bank book, and makes the necessary entrances in the Winpaccs

checks travel expense statements of staff for approval by the superior

2.Secretarial Work, Services and Office Management

organises administrative and logistical aspects (i.e. locations, catering, announcement, reg- istration) of project activities (Project Steering Committee meetings with project counter- parts and other meetings, trainings, workshops, seminars, events etc

prepares and organises internal and working meetings and takes minutes if required

coordinates and organises the travelling and accommodation of project staff, partners and of incoming international experts

ensures guests’ and experts’ comfort

supports the implementation of audit and/or monitoring missions

sets up and regularly updates all relevant contacts of the project

Required qualifications, competences and experience

Bachelor’s in finance, economics or related field

At least 2 years professional experience in a comparable position

Excellent written and oral in English

Proficient knowledge of Microsoft Office

Research skills, well organized, good communication skills

Excellent interpersonal skills, including adapting communication to different recipients and networking in Albania

Contract conditions:

Full-time employment

Programme office in Tirana

Assigment period: until 31.03.2022 (DKTI) and 31.03.2021 (MLP)
